7.Basic Design Principles
  • Principle-1: β€œComplete Information First – Design Later.”
  • The Graphics Team will prepare the design only after receiving the required information and supporting materials from the concerned department/Cell/Clubs

  • Principle-2: β€œNo Complete Content – No Final Design”
  • If mandatory information is missing, the request may be kept Pending until complete information is received. This will prevent repeated follow-ups and unnecessary redesigning.

  • Principle-3: Same-day requests should be avoided.
  • Urgent requests will be handled based on priority, availability and approval from the concerned authority.

  • Principle-4: Mandatory advance submission
  • Departments should submit graphic requirements at least 4–5 working days before the required publication date.

  • Principle-5: Avoid sending important information only as:

    1. Screenshots
    2. Images of text
    3. Handwritten text
    4. Multiple WhatsApp messages
  • The Graphics Team should not be required to manually extract important information from screenshots. Departments should preferably avoid sending compressed WhatsApp images when the original photograph is available.

  • Principle-6: Last-Minute Changes
  • Departments should avoid making changes after the final design has been approved. Repeated last-minute changes may affect the delivery timeline of other scheduled designs.

8.Creative Designing and Approval Workflow

The following workflow will be followed:

Department Submission β†’ Reporting Manager Verification β†’ Graphics Team Designing β†’ Draft Creative β†’ Corrections (if any) β†’ Approval β†’ Final Creative β†’ Instagram Publishing

  • The Graphics Team will prepare creatives based on the information provided by the concerned department/ Committee/Club.
  • The draft creative will be shared with the concerned department for verification.
  • All corrections to draft creatives must be provided in one message, rather than through multiple individual messages to avoid repeated revisions.
  • The department must verify names, designations, dates, titles, logos and other information before approval. The department should verify the content, not redesign the graphic. Once the design is prepared, only limited corrections will be permitted.
  • Final creatives will be published only after receiving the required approval.
9.Final Authority
